Terms of service

Last updated: [DATE — set at legal review]

These terms govern use of JobDocs, operated by [LEGAL ENTITY NAME], registered in [JURISDICTION], company number [NUMBER] ("we", "us"). By creating an account or using the service you agree to them.

1. Service description

JobDocs is a business-to-business platform with two products. Manage (paid) lets organisations maintain a contractor directory, define document requirements, send secure requests, review submissions, track expiry, issue work requests and compare quotations. Trade (free tier with paid upgrades) gives contractors a credential wallet and tools to respond to requests and prepare structured quotations and RAMS. Both sides of a relationship keep private data; the shared record holds only what each side chooses to release.

2. Subscriptions, cancellation and refunds

  • Paid plans are billed monthly in advance through Stripe. Prices are shown on the pricing page and exclude VAT. There is no long-term contract; you may cancel at any time from your billing page, effective at the end of the current billing period.
  • 30-day refund promise: new Manage subscriptions may be refunded in full if requested within 30 days of first payment, subject to fair use and any agreed implementation terms. [DEFINE FAIR-USE CONDITIONS AT REVIEW.]
  • Contractors never pay to respond to a paying customer's requests. Trade paid plans cover standalone productivity features only.
  • Access to paid features is granted when our payment processor confirms the subscription, and adjusted when it reports changes, cancellation or failed payment.

3. Acceptable use

  • Use the service only for lawful business purposes and only with people and organisations you have a genuine working relationship with, or a lawful basis to contact.
  • Do not upload unlawful content, malware or documents you have no right to share; do not attempt to access another organisation's data or circumvent access controls, tokens or usage limits.
  • Do not use the platform to send bulk unsolicited messages. Contractor invitations must relate to your own compliance and work processes.
  • We may suspend accounts that breach these rules, subject to notice where practicable. [COMPLETE ENFORCEMENT DETAIL AT REVIEW.]

4. Documents, quotations and RAMS — responsibility statement

  • JobDocs records document status (for example missing, awaiting review, valid, expiring, expired) and the review decisions made by your organisation. A status such as "approved" means approved by your organisation, on the basis your reviewer recorded.
  • We do not certify trade competence, insurance authenticity or validity, legal eligibility or regulatory compliance, and no status shown in the platform should be read as such a certification.
  • Quotation templates, price books and measurement calculators are aids to preparing your own commercial documents. You are responsible for checking prices, measurements and totals before sending a quotation.
  • RAMS templates and libraries are starting points only. Each RAMS must be completed for the specific job and signed off by a named, competent person in your organisation before use. JobDocs does not assess or warrant the safety or legal adequacy of any RAMS.

5. Liability

[COMPLETE AT REVIEW — limitation and exclusion of liability, including: no liability for decisions made by customers or contractors in reliance on document statuses or organisation approvals; caps by reference to fees paid; exclusions for indirect loss; carve-outs that cannot be excluded by law (e.g. death or personal injury caused by negligence, fraud).]

6. Data protection

Personal data is handled as described in our privacy notice. Where we process personal data on a customer's behalf, the Data Processing Agreement forms part of these terms. [ATTACH DPA AT REVIEW.]

7. Changes and contact

We may update these terms with reasonable notice for material changes. [DEFINE NOTICE MECHANISM AT REVIEW.]
